Approval workflows usually have steps that need to be approved by specific group of people (e.g. managers or supervisors)

Let’s walk through an example of a very basic vacation request process:

Step 1: An employee submits a vacation request

Step 2: Their respective manager needs to approve or reject this request. (Respective managers/supervisors could be Mary, David or Joe.)

Step 3: Employee is notified of the approval or rejection

Here’s how you could build this process:

_______________________________________________________________

Step 1: An employee submits a vacation request

Employee needs to complete the request. The employee completes form fields that describe the leave and selects their manager from a dropdown menu. Create a dropdown menu for managers:

Step 2: Their respective manager needs to approve or reject this request. (Respective managers/supervisors could be Mary, David or Joe.)

One of these steps would show (and notify) either of these managers/supervisors based on who the employee chose as their manager/supervisor.

  • A. Mary approves or rejects the request
  • B. David approves or rejects the request
  • C. Joe approves or rejects the request

To set this up, simply build each step A, B and C and set the owners as the respective managers/supervisors (users) and build a dropdown for the approval step and ‘hide‘ these steps by default:

Hide these steps:

Then use the conditional feature to show (and notify) these managers (users):

Step 3:Employee is notified of the approval or rejection

These two steps would show (and notify) either of these steps based on whether the manager approved or rejected the request on the previous step.

Then use the conditional feature to show the appropriate step, based on the outcome on the manager’s approval.
